The Sentinel financial module is a lightweight income and expense tracker built directly into the platform.
Income tracking โ Log revenue entries with amount, source, date, category, and any linked project or client. Recurring income streams can be configured to create entries automatically on schedule.
Expense tracking โ Log expenses with receipt attachments, category tags, and project attribution. Expense entries can be created by cascade steps โ when your platform incurs an AI inference cost, that cost can be automatically logged to the relevant project.
Budget monitoring โ Set monthly or per-project budgets with alert thresholds. The platform notifies you at 75% and 95% of budget. Cascades can query current budget status and make routing decisions based on remaining allocation.
P&L view โ A simple income vs. expense summary by month, quarter, and year, broken down by category and project. Not accounting software โ a clear view of cash flow.
The financial module connects to Nexus Cascades. An agent can query current_month_spend and decide whether to use the primary (more expensive) model or fall back to the secondary model based on budget headroom. Budget-aware automation is a first-class feature.
Project Management
The Sentinel Projects module manages client and internal projects:
Project records โ Each project has: name, client, status, value, start/end dates, description, and linked team members.
Milestone tracking โ Projects can have structured milestones with completion status and due dates. Cascade steps can update milestone status automatically when work is done.
Time logging โ Log time against projects manually or via cascade-triggered entries. Total time by project is displayed in the project overview.
Revenue attribution โ Link income entries to projects. See total billed vs. total received per project. Flag outstanding invoices.
Project health dashboard โ A summary view across all active projects: on track, at risk, overdue, or complete. Colour-coded for fast scanning.
CRM Lite
The Sentinel CRM module manages leads and clients:
Lead pipeline โ Kanban-style view with customisable stages (Prospect โ Qualified โ Proposal โ Negotiation โ Won/Lost). Cards show key lead information at a glance.
Contact records โ Company and individual contact information with activity history: emails sent, meetings logged, notes, and documents.
Activity logging โ Log calls, meetings, emails, and other interactions. Activities can be created by cascade steps โ when Spectre Email sends an outreach message, a contact activity is automatically logged.
Cascade integration โ The Spectre Email pipeline writes new contact records to the CRM when it processes outreach prospects. When a lead's website changes significantly (detected by a Spectre Campaign), a cascade can flag the lead record for follow-up.
Your AI Agents Can See Your Business
This is the structural advantage of having operational tools inside the AI platform: your agents have read and write access to your real business data.
Practical examples:
Budget-aware AI โ A cascade step checks current month AI spend, compares to budget, and uses the cheaper model tier if you are within 10% of limit. No webhook, no integration โ it just reads the financial record and makes a decision.
Project status updates โ A cascade that completes a research task writes "Research phase complete" to the relevant project milestone automatically. Your project status is always current without manual entry.
Lead enrichment on creation โ When a new lead is added to the CRM, an event cascade fires immediately, runs Spectre enrichment on their domain, and writes findings back to the contact record. By the time you open the lead in the morning, the AI has already done the background research.
Financial reporting in natural language โ Ask the chat assistant "how are we tracking against budget this month?" and it queries the financial records, retrieves the current data, and summarises it in plain language. No report generation, no export โ just a question.
Not Accounting Software
To be clear: Sentinel Ops is not a replacement for QuickBooks, Xero, or your accounts team. It does not handle VAT returns, payroll, multi-entity structures, or complex financial reporting.
It is the operational layer between your AI platform and your business reality. Enough financial and project data to make your AI agents contextually aware of your business, without the complexity of a full ERP system.
